Check-In Procedure
- Check-in time: 1:00 PM – 5:00 PM
- Check-out time: 11:00 AM
- Early Check-Ins: Early arrivals are accommodated, when possible, please call the front desk to inquire about availability.
- Late Check-Ins: Please notify the front desk before 4:30 PM if you will be checking in after normal check in hours.
- Late Check-Outs: Late check-out may be approved if requested at least 24 hours in advance and is subject to availability.
- Requests must be made by contacting the Front Desk prior to the scheduled check-out time.
- Guests who do not receive approval for late check-out and fail to vacate their site by 11:00 AM will be charged a fee equivalent to one additional night’s stay.
- While each park attempts to accommodate your exact spot request, the on-site manager has the ultimate decision for spot placement.
Deposits
- Stays of less than thirty (30) days require full payment at the time the reservation is made.
- A one (1) month deposit is required at the time of booking for stays of thirty (30) days or longer.
- For stays of four (4) months, the remaining balance after the first month’s deposit is due upon arrival.
- For stays of five (5) months or longer, the Guest will be billed monthly.
Tranquil Hours
- Quiet hours are from 10:00 PM to 8:00 AM.
- Excessive noise or inconsiderate behavior will result in removal from the Property.
Trash
- Do not leave trash outside overnight.
- All trash must be bagged and placed at the curb between 9-10 am.
- Trash will be picked up daily during these hours.
- Cardboard boxes must be broken down.
- Items such as construction waste, paint cans, propane cylinders, furniture, old carpet, batteries, tires and large items must be disposed of at the local landfill, please contact Charlotte County for additional disposal instructions.
Dress Code
- Proper attire is required in all buildings.
Visitor Policy
- Visitors are permitted at the Resort, however, all visitors must be registered with or reported to the Office prior to arrival.
- Resort guests are fully responsible for the conduct and actions of their visitors at all times.
- Overnight visitors are subject to an additional fee of $25 per night, per visitor, which must be paid at the time of registration.
- Registered overnight visitors are permitted to use Resort amenities and may attend Resort activities and functions.
- Any visitor using Resort amenities or staying overnight without proper registration and payment will result in a $50 charge to the registered guest.
- Unpaid visitors are not permitted to use Resort amenities or stay overnight but must still be registered.
Pet Policy
- Cabana Bay RV Resort permits a maximum of two (2) domesticated pets per RV/site, subject to compliance with these Rules and Declarations.
- Fish are permitted and are exempt from registration requirements.
- All pets must be registered with Resort Management prior to or upon arrival.
- Registration requires the pet’s name, breed, color, and size.
- Guests must maintain current vaccination records for each pet and provide such records upon request by Resort Management.
- Pets must be under the direct control and supervision of their owner at all times.
- Except within the designated dog park, pets must be physically leashed and accompanied by a responsible adult, or confined within an approved temporary, portable pet enclosure.
- Tie-out cables, stakes, chains, and similar restraint devices are strictly prohibited anywhere on the Property.
- Pets are not permitted in the office, clubhouse, pool, pool areas, comfort stations, or any other interior buildings or designated Common Areas.
- Owners are responsible for the immediate clean-up and proper disposal of pet waste.
- Pet waste must be deposited only in designated pet waste disposal stations located throughout the Resort.
- Failure to comply may result in fines or other enforcement action.
- Temporary pet enclosures are permitted only on paved or paver surfaces, must be black in color, and sections may not exceed two feet (2’) in width, thirty-six inches (36”) in height, or the length of the RV.
- Pets may not be left unattended or unsupervised in enclosures at any time and may not be left outside of the RV when the owner is absent.
- Pet enclosures are strictly prohibited on grass or landscaped areas.
- Owners are fully responsible for the behavior, actions, and safety of their pets at all times.
- Owners shall be financially responsible for, and shall promptly reimburse, any damage to persons or property caused by their pet.
- Owners agree to indemnify, defend, and hold harmless the Association, Cabana Bay RV Resort, the Declarant, and their agents from any claim, loss, damage, injury, or liability arising from or related to the presence of any animal on the Property.
- Aggressive, disruptive, or unvaccinated pets are strictly prohibited.
- Resort Management reserves the right, in its sole discretion, to require the immediate removal of any pet deemed a threat, nuisance, or disturbance to other guests, staff, or property, without refund.
Dog Park
- Hours are Dusk to Dawn and Posted.
- Only registered dogs may enter.
- Owners are responsible for pet behavior, damage, and injury.
- Unauthorized pets are subject to removal and fines.
- The Association and Cabana Bay RV Resort will be held harmless against any loss or liability of any kind arising from any animal with Cabana Bay RV Resort by Boca Grande.
Pool Policy
- Hours are dawn to dusk and posted.
- Children under the age of 18 years old must be supervised.
- No lifeguard on duty.
- Swim at your own risk.
- Proper swimwear is always required in the pool and spa.
- All guests must shower prior to entering the pool and spa.
- Only “pool noodles” are allowed.
- No glass containers in the pool or spa areas.
Fitness Center
- Use of the Fitness Center is at the guest’s own risk.
- Guests are expected to maintain a clean and safe environment by wiping down equipment after use and wearing appropriate athletic attire at all times.
- Food is not permitted in the Fitness Center.
- Children under the age of 18 years old must be supervised.
Amenities
- Registered guests, Owners, and paid Visitors only.
- Follow posted rules.
- Misuse may lead to restricted access.
Vehicle Registrations
- Permitted Vehicles: All vehicles must be operable, registered, insured, and display a current tag.
- For purposes of these Conditions, vehicles include automobiles, motorcycles, motorized bikes, passenger trucks, small vans, and similar passenger vehicles.
- Prohibited without the Board of Directors’ consent: trailers, boats, buses, large commercial trucks, industrial vehicles.
- Motorcycles, motorbikes, or other motorized vehicles may not be operated on the Property except to provide transportation to and from a Unit.
- The use of All-terrain vehicles (ATVs) within the RV Park is prohibited.
- The storage of ATVs on a Unit is permitted.
- No parking outside designated areas.
- No vehicle may be parked in a manner that impedes or prevents ready access to the Property, driveways, or parking spaces.
- No vehicle may obstruct the flow of traffic, constitute a nuisance, or otherwise create a safety hazard.
- No vehicle may be parked, even temporarily, in spaces reserved for others, in fire lanes, or in any area designated as "No Parking."
- Vehicles parked in violation of the Documents (including this provision) will be towed at the Unit Owner's expense.
- Golf Carts: A person operating a golf cart must have a valid driver's license and the golf cart must be insured.
- Golf carts must not be driven at night unless operated with proper lights.
- “Proper lights” are those installed by the original manufacturer.
- Light bars are prohibited.
RV Requirements and Policies
- RVs must be 10 years old or newer, minimum 18’, and in good condition.
- Truck campers, pop-ups, and cargo trailers are prohibited.
- Exceptions may be considered upon request and approval of resort management.
- Current photos will be required.

- The following are specifically excluded from the definition of Recreational Vehicle and RV, among others: (1) any RV over ten (10) years old unless otherwise approved (2) any RV less than eighteen feet (18’) in length; (3) truck campers, living quarter trailers, cargo trailers, or pop-up campers; (4) any structure or unit that cannot legally be transported under its own power or with the use of a one-ton or smaller, light-duty truck; (5) manufactured, mobile, modular, or any other home or structure regulated by the United States Department of Housing and Urban Development; (6) any unit or structure built or set on a pier-and-beam, concrete, or other foundation and not on a motor vehicle or trailer chassis.
- Exterior Care: Exteriors must always be kept clean with no tarps or unsightly window coverings.
- Exterior Maintenance: Roof, siding, doors, windows, skirting, and steps must always be kept clean and in good condition and free of mold.
- Air Conditioners: Air conditioners may not be window units.
- No outside air conditioners are allowed.
- Sewer Hoses: Sewer hose donuts are required.
- All waste must be properly disposed of in our sewer system.
- Jack Pads: Guests are required to use protective jack pads or stabilizing pads when leveling or supporting RVs on paver sites.
- This helps prevent damage to the pavers and ensures site integrity.
- Failure to use jack pads may result in fines or repair charges
Vendor and Service Provider Policy
- Outside vendors and service providers (including but not limited to RV repair technicians, mobile mechanics, pet grooming services, pet sitters, mobile veterinarians, cleaning services, and similar service providers) are permitted on the Property only under the following conditions:
- All vendors must be pre-approved by Resort Management prior to entering the Property.
- Guests are responsible for notifying the Office in advance and providing the vendor’s name, service type, and estimated date and time of service.
- Vendors may access the Property only for the purpose of providing services to a registered guest and must check in with the Office upon arrival, unless otherwise directed by Management.
- Vendors must comply with all Resort rules, policies, speed limits, parking restrictions, quiet hours, and safety requirements while on the Property.
- Vendors may not advertise, solicit, distribute business cards, post signage, or conduct business with other guests while on the Property without prior written authorization from Resort Management.
- Commercial vehicles, trailers, or equipment must not block roads, neighboring sites, utilities, or common areas.
- Any damage caused by vendors to Resort property or guest sites is the financial responsibility of the registered guest.
- Certain services, including but not limited to major RV repairs, welding, painting, body work, pressure washing, or any activity involving hazardous materials, excessive noise, or environmental risk, may be restricted or prohibited at Management’s discretion.
- Resort Management reserves the right to deny or revoke vendor access at any time for safety, operational, or policy compliance reasons, without refund to the guest.
RV and Vehicle Washing Policy
- To support proper maintenance and appearance standards, routine washing of RVs and personal vehicles is permitted within the Resort, subject to the following conditions:
- Washing may be performed only at the guest’s assigned site and must be limited to light, routine cleaning necessary to maintain the exterior appearance of RVs and vehicles.
- Only water or mild, biodegradable soaps may be used.
- The use of pressure washers, commercial-grade equipment, solvents, degreasers, acids, or abrasive cleaning products is strictly prohibited.
- Wash water and runoff must be contained within the guest’s site and may not flow onto neighboring sites, sidewalks, roadways, landscaped areas, storm drains, or lakes.
- Guests must take reasonable measures to prevent overspray, pooling, or erosion.
- Mobile detailing or commercial washing services are not permitted within the Resort without prior written approval from Resort Management.
- Washing activities must be conducted in a courteous manner and may not create excessive noise, nuisance conditions, or interfere with the comfort of other guests.
- Guests are financially responsible for any staining, damage, erosion, or environmental impact resulting from washing activities, including damage to concrete, asphalt, drainage systems, utilities, or landscaping.
- The Resort reserves the right to restrict, suspend, or prohibit washing activities at any time due to water restrictions, weather conditions, or operational needs, and to enforce violations in accordance with these Rules and Declarations.
Utilities and Electric
- Each site has a minimum of 50, 30, and 20 amp connections.
- Electrical pedestals may not be altered, and “pigtails” are prohibited.
Damage to Resort Property
- Guests are financially responsible for any damage caused by themselves, their RV, vehicles, visitors, or pets to Resort property, including but not limited to paver pads, sidewalks, roads, utilities, landscaping, buildings, and amenities.
- The Resort reserves the right to charge the cost of repair or replacement to the guest’s account or payment method on file, or to seek reimbursement through insurance or other lawful means.
- Damage caused during parking, backing, or maneuvering of RVs or vehicles is the sole responsibility of the guest.
Site Appearance and Maintenance
- Sites must be tidy and clear of debris.
- It shall be the responsibility of each Owner or Long-Term stay guest to prevent the development of any unclean, unhealthy, unsightly, or unkempt condition on his or her Lot.
- No unapproved outside structures.
- Tents and Temporary Structures: Traditional tents and sleeping tents are not permitted.
- Portable pop-up screen tents may be used on a temporary basis only and must be removed when not in use.
- Screened porches, decks, platforms, patios, and other site modifications are not permitted unless prior written approval is obtained from Resort Management.
- Storage Containers and Outdoor Items: Approved containers must be neutral in color, uniform in appearance, well maintained, and limited in size as determined by the Resort.
- Storage containers must be placed in the area of the site on pavers furthest from the road and may not obstruct utilities or neighboring sites. Tarps are not permitted under any circumstances, including as covers or storage solutions.
Key Fob and Mail Key User Fees
- One (1) amenity key fob will be issued at check-in per adult guest at no charge.
- A user fee will be charged for each additional key fob requested.
- Replacement fee for lost or damaged key fobs is $25.00.
- Guests are solely responsible for all key fobs issued under their name.
- Any lost, damaged, or unreturned fob will incur the full replacement charge.
- One (1) mail key will be issued per site at no charge.
- A $15.00 user fee applies for each additional mail key requested.
- The replacement fee for a lost or damaged mail key is $25.00.
- Guests are solely responsible for all issued mail keys.
- Cabana Bay RV Resort is designated as a bulk delivery Resort by the postal service.
- If you are expecting valuable or time-sensitive mail, you must notify Resort Management in advance so accommodation can be arranged.
- All key fobs and mail keys must be returned to the Front Office during business hours or placed in the designated drop boxes upon departure.
Smoking and Miscellaneous
- Smoking is prohibited within 15 feet of buildings.
- Glass, smoking, vaping, and pets are not allowed in the pool, pool areas, clubhouse, comfort stations, or other Common Areas.
Fire Safety and Grilling
- Grills and fire features must be used safely at all times.
- Wood-burning fires are permitted only in the designated fire pits located on the south side of the resort and are subject to weather conditions and local fire regulations.
- To minimize smoke exposure to other guests and prevent damage to RV sites and surrounding property, wood fires are not permitted at individual RV sites.
- At RV sites, only electric or gas fire features are allowed.
- All fires and fire features must be attended at all times.
- Ashes must be completely extinguished and properly disposed of.
- Fires may be restricted or prohibited during burn bans or unsafe conditions.
Firearms and Fireworks
- Discharge of firearms and/or fireworks is strictly forbidden.
Lake Use and Wildlife
- No swimming, rafting, or boating is allowed.
- Beware of wildlife.
- Please report any alligator sightings larger than 3 feet in length.
- The Association and Cabana Bay RV Resort are not liable for any loss, damage, or injury to any person or property arising from the authorized or unauthorized use of lakes within the Property.
Internet Usage
- Wi-Fi is for general use.
- No illegal activity or excessive streaming permitted.
Commercial Activity
- All business operations, solicitation, advertising, or sales are strictly prohibited on the Property unless expressly authorized by Resort Management.
Photography and Promotion
- Guests may be photographed for Resort promotions.
- Notify Management to opt out.
Enforcement and Fines
- Violations may result in fines, warnings, or eviction.
Limitation of Liability
- The Resort is not liable for injury, loss, or damage unless due to gross negligence.
Modifications
- These Terms may be amended without notice.
Governing Law
- These Terms are governed by Florida law.
- Disputes will be resolved in Charlotte County.
Entire Agreement
- These Terms, along with referenced policies, are the entire agreement between the Resort and Occupants.
Severability Clause
- Invalid provisions shall not affect the validity of the remainder of these Terms.
Force Majeure
- The Resort is not liable for events beyond its control, such as weather or government action.
Dispute Resolution
- Unresolved disputes will proceed to mediation, then binding arbitration in Charlotte County.
Consent to Communications
- Guests consent to receive updates and notifications via phone, email, or text.
Insurance Requirements
- Guests are encouraged to carry insurance.
- The Resort is not responsible for personal property.
Reservation of Rights
- Management reserves the right, in its sole discretion and subject to applicable law, to deny service, relocate guests, or amend rules for the safety, comfort, and orderly operation of the Resort.
Definitions and Interpretations
- Terms shall be interpreted as defined in the Resort's governing documents.
- Singular includes plural where context requires.
Assumption of Risk
- Use of facilities is voluntary.
- The Resort is not responsible for injury, damage, or theft, except in cases of willful misconduct.
Mediation and Arbitration
- Disputes unresolved by negotiation will go to mediation, then arbitration in Charlotte County, Florida.
Campground Disclaimer
- All Occupants must comply with Resort rules.
- Disorderly conduct, unlawful activity, and disturbances are prohibited.
- Resort Management reserves the right to remove violators.
- Management may refuse accommodations or services to any person whose conduct on the premises of the resort displays intoxication, profanity, lewdness, or fighting; who engages in any language or conduct as to disturb the peace or comfort of any other guest; who engages in illegal or disorderly conduct; or whose conduct constitutes a nuisance; (such refusal of accommodations or services shall not be based upon race, color, religious beliefs or creed.)
- Management reserves the right to deny any person(s) the privilege to use any of our resort facilities, either on a temporary or permanent basis, for violations of these guidelines:
- Enforcement actions may include warnings, fines, removal, or eviction without refund, depending on severity.
- Management reserves the right to enforce and maintain these guidelines.
Cancellation Policy
Cancellation Policy
- Cancellation fees are based on the length of stay and the timing of the cancellation.
- Stays of One (1) Month or More:
- Cancellations made 45 days or more prior to arrival: $400 cancellation fee
- Cancellations made within 45 days of arrival: full deposit forfeited
- Cancellation timeframes are based on the scheduled arrival date.
- The Resort reserves the right to modify this policy at any time.
Refund Policy
- Refunds are based on the length of stay and the timing of cancellation.
- For stays of less than one (1) month, cancellations made 48 hours or more before arrival will be refunded minus a $25 cancellation fee and the $5 booking fee; cancellations within 48 hours of arrival or no-shows forfeit the full deposit.
- All cancellation fees are non-refundable and based on the scheduled arrival date.
- No refunds will be issued for early departures or no-shows.
- All Spot2Nite reservations require payment in full at the time of booking.

- Spot2Nite convenience fees and credit card processing fees are non-refundable.
